Reservations: We require that you complete and submit our Registration Form and return it to us along with a deposit of $300 (USD or CAD) per person for land tours and US$1000 for expedition cruises. If registering by phone, fax or email, your deposit must be received within 14 days or the space will be released. Typically, invoices confirming a tour for the balance due will be mailed approximately 120 days prior to departure and payment is due 90 days prior to departure. Deposits and payments are insured by the BC Travel Assurance Fund.
Cancellation & Refund Policy: Notification of cancellation must be received in writing. Unless otherwise noted, the following policy applies: if cancellation is received up to 120 days prior to departure, full deposit and any payment, less a $100 (USD and CAD) will be refunded. If cancellation is received between 60 and 119 days prior to departure, 50% of the tour fee is not refundable. Thereafter, all deposits and payments are not refunded. Refunds cannot be made to participants who do not complete the tour for any reason.
Trip Insurance: We strongly recommend that you purchase trip cancellation insurance to cover your investment in case of injury, illness or some other unexpected event which forces you to cancel. In addition, we strongly recommend that you obtain emergency medical insurance that covers expenses resulting from accidental injury or illness during the tour.
Medical Information: Participation on an Eagle-Eye tour requires that you are in generally good health, are able to complete walks of several hours duration and are able to meet the tour's schedule. Persons with medical problems or dietary restrictions must make them known to us well in advance of the tour. Eagle-Eye Tours Inc. (EET) has the authority to disqualify any participant, without refund or further obligation, if they do not follow the recommendations of the leader or if the tour leader feels that the individual's continued participation will jeopardize the wellbeing or enjoyment of the individual or group. You have the responsibility to get immunizations to protect you from diseases or illness that may exist in the places you will be visiting on tour. EET has no special expertise as to what illness or diseases might be present, so we urge you consult your doctor and or Travel Immunization Clinic before you go.
Tour Fees: We will make every effort to charge the prices quoted in our catalog or detailed itineraries, but fluctuations in major currencies may force us to change tour prices at any time before departure. Current prices are listed on our website and reflect payment by cash/cheque. If you pay the balance by credit card, we add 3% to the amount owing. There is no fee to pay your deposit by credit card. Fees are per person, based upon double occupancy. Single rooms, when available, will be provided upon request for an additional fee. For participants traveling alone but wishing to share a room, EET will arrange for a roommate, if possible. If a roommate is not available, the single supplement will be charged. Our tour fees include all lodging, ground transportation, in-country air transportation, guide services, park and special entrance fees, and baggage handling for those requiring assistance. Outside the USA and Canada, all meals are included on our tours. Tours within the USA and Canada typically do not include evening meals. The tour fee does not include alcoholic beverages, transportation to or from the tour departure or conclusion points, passport or visa fees, entry or exit fees, airport taxes, phone calls, laundry, or other items of a personal nature. We reserve the right to remove you from a tour if you have not made full payment by the due date.
Image Usage: During our tours we may take photos or video for promotional purposes. If you do not want us to use photos or video that include you, please let us know in advance.
Risks and Our Responsibility for Your Tour: Your booking is accepted on the understanding that you appreciate the possible risks inherent in adventure travel and that you undertake our tours at your own volition. Due to political and cultural differences, as well as generally tougher physical conditions, travel to many areas of the world involves risks other than those we take in our daily lives. EET and the tour operators it works with place extreme importance on the safety of clients. It is important, however, that you realize that you are responsible for making yourself aware (through Government advisories and other sources of information) of the risks involved, and are responsible for making your decisions accordingly. EET shall not be liable for any delays, deviations or omissions from any tour caused by circumstances beyond its reasonable control, nor for any direct or indirect consequences thereto. EET shall not be liable to compensate you for associated expenses incurred as a result of your booking. EET only acts as agent for the owners, contractors, suppliers of transportation and local operators/agents, and/or other related travel services provided and assumes no liability or responsibility for additional expenses howsoever caused arising directly or indirectly from the actions or omissions of such independent parties, accidents, loss or damage to person or property, delays, transport failures, strikes, war, force majeure, contagious diseases, quarantine, Acts of God etc., over which it has no control. EET accepts no liability for injury, loss, or death from or related to COVID-19 or other communicable diseases. Arrangements so made by EET will be subject to any special terms imposed by the supplier of these services. EET accepts no liability for any action or activity undertaken by you arranged independently of EET while on tour. You are solely responsible for ensuring that you possess all the required travel documentation for your tour (passports, visas, etc.).
Release of All Claims: In return for EET agreeing to take you on this tour, by submitting this registration form you agree that in advance of your tour you personally, and on behalf of your heirs beneficiaries and assigns are releasing EET from any claims for any loss, damage, expense, illness, injury or injury causing death to you that occurs while you are on tour with EET. That applies to any claims you may have against EET for personal injury to or death of a spouse, companion or child, or for any financial or economic losses you have as a result of anything that happens while you are on a tour. All of this also applies regardless of how, why or where such loss, damage, illness, injury, death or damage to property was caused, and whether it was foreseeable or not, or whether it was direct or indirect. This release also applies to EET’s agents, employees, shareholders, directors and sub-contractors. If there is any dispute that you wish resolved or want to bring to court or any other type of tribunal relating to any loss, injury, illness, death or damage to your property while on tour with EET, you are going to bring it in the Province of British Columbia, Canada, and nowhere else, even if it means you have to travel there to do so. The laws of British Columbia Canada will apply to any dispute or claims you may have. Before you bring any dispute to court in British Columbia you agree that you will first submit it to mediation in front of a mediator in British Columbia or in Calgary, Alberta, to try and settle it, and share the cost of mediation, and if required by the mediator pay your share of the cost to the mediator before the mediation. If you and EET cannot agree on who the mediator is to be, then EET has the exclusive right to appoint one. If you do not attend the mediation you agree that you are abandoning your dispute and any claim against EET.
